Information and Frequently Asked Questions

How to register your interest in your child attending a club.

Register your interest by:

  1. Logging into the Parent Portal or Arbor App.
    2. Click on the “Clubs” link that is within the Activities section on the home page
    3. Click on the club that you wish to register your interest in
    4. Click on the “Register [Child’s Name] for this club” button on the right-hand side

Please note that although the Arbor system states that your child's place at the club is confirmed as soon as you sign up, this is only confirmation of interest being registered. If your child has a place at the club, this will be confirmed by an email from the school.

How will places be allocated to club?

The number of places available on each club is limited.

Should the level of interest exceed the number of places available, pupils places will be allocated at random. Once all of the places have been allocated, we will continue to draw the remaining pupils at random to be added to a waiting list for a place. Their order on the waiting list will be in the order that their names are drawn.

Once the registration of interest period has closed parents will be sent an email and in-app message to notify them if their child has either a place at the club, or has been placed on the waiting list.

Only children who have been given a place at the club can attend. If a child turns up to a club without their place being confirmed by the school, parents will be called and the child must be collected immediately.

Chargeable Clubs

If your child has a confirmed place at a club where there is an attendance fee, parents/carers will be asked to pay this fee before the first session is scheduled to take place. Payment can be made through the Arbor App / Parent Portal after you have received the email from the school office confirming your child's place.

Failure to make payment may result in your child place being withdrawn. If you withdraw your child from a club during a membership period, you may not be given a refund for sessions missed.

What if a place becomes available during the course duration?

Should a place become available during the course duration, the place will be offered to the child at the top of the waiting list.

What if I miss the deadline to register my interest?

Due to the number of clubs being offered and the administrative work involved in organising these clubs we ask that parents stick to the deadlines set above. Reminders will be sent by email when the deadline to register is getting close.

Once the deadline has passed, late requests for places can only be made through the school office and we cannot guarantee that a place will be available.

What if my child is unable to attend a session?

If your child has been absent from school due to illness we will already be aware of this and no further action is required.

If your child is unable to attend for any other reason, parents/carers must inform the school office in advance of this absence, either by:

If a child is absent from a club without this being communicated in advance, this will be recorded, and we will conduct a safeguarding telephone call to parents / carers to determine your child's whereabouts. You will receive an email from the office reminding you of the absence reporting procedure.

If a child is absent from a club for a second time within the same membership period without the absence being communicated in advance, we will conduct we will conduct a safeguarding telephone call to parents / carers to determine your child's whereabouts and your child will be removed from club and will not be able to attend the rest of the sessions within that membership period. You will receive an email from the office confirming that their place has been removed.
